Background

Mamo, originally known for its card products, wanted to expand into expense management to address employee frustrations with manual submissions and delays. Employees faced the following:

  • Delayed approvals due to bottlenecks.

  • Time-consuming manual receipt uploads.

  • Lack of transparency in tracking.

  • Risk of errors from email/shared drives.

The Goal
Create an intuitive and transparent system that reduces time and effort for employees, while aligning with employers’ compliance needs.

Understanding users perspective and the problem space.

The first step was understanding the users' expense management issues. Through interviews, I identified key insights to create a solution tailored to employees' needs, revealing why users requested the expense management feature.

  • Submissions must work on-the-go:
Employees struggled with manually uploading receipts, which was error-prone and slow.

  • Approvals should be faster and trackable:
Manager availability caused bottlenecks, leading to frustration and missed timelines.

  • Employees need clear visibility into status:
Employees had little visibility into the status of their submissions and reimbursements.

Key Insight: Employees need an expense management solution that is fast, transparent, and reliable one they can use on-the-go without relying on manual workflows.

Compared global leaders (Ramp, Expensify, Brex, Concur) to identify strengths/weaknesses and best practices in automation, reporting, and integrations.

Ideation & Design Approach

Challenge Statement:

How might we streamline expense management to reduce manual effort, speed approvals, and provide real-time insights?

Mapped potential solutions by impact vs effort. Focused on:

  • Mobile expense submissions

  • UI/UX improvements

  • Approval workflow streamlining

  • Real-time reporting

Human-centric approach for key personas focusing on needs and pain points.

Solution & Key Features

I designed a seamless expense management flow where each interaction connects smoothly, prioritizing efficiency, transparency, and user satisfaction. The result is a streamlined process that empowers both employees and employers.

  • For Employees:

    • Push notifications for approvals

    • Easy receipt upload & categorization

    • Familiar, receipt-like expense views.

  • For Employers:

    • Quick status updates (approve/deny)

    • Receipt previews with zoom/pan

    • Real-time confirmation messages

Crafting Design Tokens and Components

To ensure consistency and scalability, I defined design tokens that captured the product’s visual identity color, typography, and spacing. These tokens became the foundation for a cohesive, accessible interface.

I then built reusable components that streamlined both design and development, ensuring every element from buttons to forms felt unified and purposeful. This system allowed the product to scale efficiently while maintaining a seamless, human-centered experience.

Bringing the experience to life

I brought that vision to life. Every screen, icon, and interaction in the Employee module was crafted to reduce friction and increase confidence. From intuitive submission flows to clear feedback messages, I focused on creating an experience that felt effortless one where employees could complete tasks quickly and feel supported, not burdened.
